Sign-In Security: Password Managers, Passkeys and Conditional Access

Most attacks now start with a stolen password. Three tools close most of that gap: a password manager for the passwords you still need, passkeys to replace passwords where you can, and Conditional Access to check whether each sign-in makes sense. Here’s how each works, in plain words.

Password managers for teams

Sticky notes on monitors. A shared Excel file called “passwords”. The same password for email, the bank portal and the courier account. Most small businesses have at least one of these, and it’s not carelessness: remembering dozens of strong passwords is impossible. A business password manager fixes that:

  • One strong master password, protected with MFA.
  • Unique, long passwords generated for every site.
  • Shared vaults for team logins, so nobody emails passwords around.
  • Quick removal: when someone leaves, their access to shared vaults is removed in one step.

Pick a business version, not a personal one, switch on MFA, and start with the shared logins that cause the most trouble.

Passkeys: the replacement for passwords

A passkey lets you sign in with your fingerprint, face or device PIN instead of typing a password. Behind the scenes, a secret key stays on your device and never travels to the website. That matters because:

  • There’s nothing to phish. A fake login page can’t steal a passkey.
  • There’s nothing to reuse. Every site gets a different key.
  • Sign-ins are faster for staff.

Microsoft, Google and Apple all support passkeys, and Microsoft Entra ID supports them for work accounts, for example through Microsoft Authenticator. A sensible step: start with admins and finance staff, then expand.

Conditional Access in plain words

A password says who you claim to be. Conditional Access checks whether the sign-in makes sense. In Microsoft 365 it applies rules every time someone signs in:

  • Who: an admin, a finance user, a guest?
  • Where: the office, home, or a country you don’t operate in?
  • On what: a company-managed laptop, or an unknown device?
  • How risky: does the sign-in look unusual?

Then it decides: allow, require MFA, limit access to the browser only, or block. Good first rules for a small business: require MFA for everyone, block legacy sign-in methods, and require managed devices for admins. Conditional Access is included with Microsoft 365 Business Premium, through Entra ID P1.
