A One-Page AI Policy for Small Businesses

Your team is already using AI tools. The only question is whether they’re using them with rules or without. In our view, a small business doesn’t need a 20-page AI policy. It needs one page that everyone actually reads. Here’s what to put on it.

The five sections of a one-page AI policy

  1. Approved tools. Which AI tools staff may use for work, for example Microsoft 365 Copilot or Copilot Chat signed in with a work account.
  2. Never paste. Customer personal data, passwords, financials, contracts, and anything marked confidential.
  3. Always check. AI output is a draft. A person checks facts, numbers and tone before it goes out.
  4. Ask first. Who to ask before trying a new tool.
  5. Review. Look at the policy again every six months.

Why a short policy beats a ban

When AI tools are banned, people use them anyway, on personal accounts you can’t see. That’s how company data ends up pasted into free tools. A short policy people follow beats a long one nobody reads, and it’s much better than a ban people quietly ignore.

Why it matters for data protection

Pasting customer details into an unapproved AI tool means sharing personal data with a third party you haven’t checked. With India’s DPDP obligations applying from 13 May 2027, knowing which tools handle your data, and keeping personal data out of the rest, is part of the groundwork.

Rolling it out

  • Write the page with one person from management and one from IT.
  • Share it in a team meeting, not just by email, and answer questions.
  • Give staff an approved tool, so the policy points them somewhere, not just away.
  • Add it to your yearly security awareness plan; October is a good month.
